November Update
Welcome to the second half of the Autumn term which is as busy as ever! Our November update is focused on the School Workforce Census for SIMS and Arbor which we hope will be useful when completing your census information.
Don’t forget we’ll be at The Education People Show in Kent next week on the 11th November, find us on stand 265 and at the Schools and Academies Show at the Birmingham NEC on the 17th and 18th November on stand H30 – please come along to say hello if you’re there and pick up some of our new promotional goodies!
We’re delighted to have welcomed a new Business Development Manager to the School ICT team this week, Laura Waite. Laura’s looking forward to getting in touch with all our southern based customers in due course but please feel free to contact Her by e-mail: laura.waite@schoolicts.co.uk, if there’s anything she can help you with before then.
SIMS - School Workforce Census
The latest information including the current fileset 1907 can be found on our Customer Portal https://my.schoolicts.co.uk/ under Knowledgebase|Categories then scroll down to SWC where you will find resources to help you with the completion of your census.
Known queries – Awaiting Consolidated Workstation Patch 2
4745Q – Member of staff is working more than 49 hours a week.
6530Q – The same person has a total full time equivalent ratio greater than 1.5.
Other known queries
6150Q – Normally ‘Computer Science’ should be taught at KS4 rather than ICT.
GCSE ICT was withdrawn in 2015. DfE subject code ICT should only be used for vocational awards.
The incorrect assigning/mapping of these subjects will generate a DfE validation query.
Computer Science should be mapped to DfE Code CSI Computer Science.
IT should be mapped to DfE Code ICT Information and Communication Technology.
If the subject Computer Science is mapped correctly and available as a subject in SIMS via Tools|Set-ups, you will be able to edit the General Subject in panel 4 of the return.
If you decide to deal with this validation query by using Tools|Set-up Subjects to reset the mapping of the SIMS subject involved from ICT to Computer Science, you may find that you are not able to do so, as the existing mapping has already been used in a School Workforce return. Deleting any current returns may allow you to remap the subject, alternatively you can put a note to the query in Collect or contact the office to request patch 21915 which will allow the subject mapping to be edited.
New Item
Newly Qualified Teacher – this field identifies Early Career Teachers in the first and second year of induction.
From 1st September 2021, statutory induction changed for new teachers and all early career teachers undergoing statutory induction starting from September 2021 are entitled to 2 years of high-quality professional support based on ECF. State funded schools offering statutory induction receive additional funding to deliver the new ECF.
Funding for the second year of induction will depend on data submitted in the School Workforce Census, so special care should be taken that data entered in this field is correct.
To be recorded in this field as NQT1 or NQT2 a teacher must:
- Have QTS (rather than QTLS or EYTS), and
- Be on the Early Career Framework (ECF)
A teacher working less than full time may take more than a calendar year to complete a year of induction, it is up to a school to determine whether a member of staff is in the first or second year of their induction.
See the screen shot below, the QT Status box needs to be ticked in order to see the NQT status menu (please click to enlarge): –
Note on staff working in multiple schools
Teachers who work in multiple schools, even if the schools are part of a Multi Academy Trust, will need to be recorded separately in each of the schools.
Each school will need to record the name, teacher number, QTS, QTLS and EYTS of the staff and to separately record the hours worked by staff in each school. This data must be recorded for each school to ensure that staff are not being double counted and to ensure that an accurate record is made of staffing and hours worked in each school.
For further information please refer to DfE Guide ‘School Workforce Guide (for schools including academies within a Multi Academy Trust) 2021’. Note 7.
Arbor - School Workforce Census
Check your data using the Data Quality Dashboard.
Before the Dry Run facility opens, you can start preparing for Census by heading over to your Data Quality Dashboard. You’ll find three key areas to help you check and prepare your data, which you should work through in this order: –
- Merge or delete any duplicate staff profiles in the Suspected Duplicates section.
- Add and update basic details in the Staff section.
- Add in key Census information in the School Workforce Census section to add key Census information. Just click a cell to add the data!
- Pay Scales: In Arbor, when looking at Pay scales, all scales may display differently and may no longer be separated by Service Term as these are not included in Arbor, such as NJC, Leadership etc. If you have migrated from another MIS, it is advisory to ensure that these are updated and correct. You may wish to rename the scales to ensure you are awarding correctly e.g. NJC scale 1 or Teachers Upper scale 1 etc. Please use the link below for further guidance on how to amend, update, create and complete Pay scales in Arbor: –https://support.arbor-education.com/hc/en-us/articles/203790902-Managing-and-Updating-Pay-Scales#deleting-a-pay-scale-0-5
- Check your SENCo is set up – detailed guidance on how to do this can be found here:- https://support.arbor-education.com/hc/en-us/articles/360014107837-How-to-set-up-your-SENCo-for-the-Workforce-Census#step-2-check-your-senco-is-set-up-0-1
- There is one new field to be returned in the 2021 workforce census – Add information about staff’s Newly Qualified Teacher (NQT) year from their staff profile or the Teacher Status page. Use The Staff section part of the Check your data using the Data Quality Dashboard.
- For the 2020 Workforce census, these items were not collected. They are collected in this year’s 2021 return:
- Staff Absence data – Make sure staff absences have been recorded: How can I see Staff Absence Statistics?
- Qualification data – Record Staff qualifications (Qualification codes, Subject Codes and Class of Degree) from the Qualifications & Checks area on staff member’s profiles.
- Date of last pay review – Use The Staff section part of the Check your data using the Data Quality Dashboard.
- Vacancies – On census day, you need to add in the vacancies that are currently open at your school. All fields, including the Subject and Tenure fields, are being collected this year. You can see how to add this in the Workforce Census guide.
- Third-party support staff headcount – On census day, you need to add in headcount numbers for occasional teaching staff and third party support staff are both required. You can see how to add this in the Workforce Census guide. For further Arbor Workforce Census help and guidance please click HERE.

Autumn Year 2 Phonics
Cancellation of the phonics screening check in June 2021 means incoming year 2 pupils did not take the check in year 1.
In the 2021/22 academic year only, it is statutory for schools to administer a past version of the phonics screening check to year 2 pupils during the second half of the 2021 autumn term and return results to the LA. Year 2 pupils who meet the expected standard in phonics in the autumn check will not be required to complete any further statutory assessments in phonics. Year 2 pupils who do not meet the expected standard in the autumn check will be expected to take the statutory check in June 2022, alongside year 1 pupils.
SIMS
To enable submission, you will require the Autumn 2021 release of SIMS which is due out in the next couple of weeks. Detailed guidance on how to set up the marksheets and submit the data can be downloaded from the Customer portal via Knowledge base/Categories/Keystage/ Year 2 Phonics Autumn Term 2021.
