Exam Results

School Spring Census 2024 is on 18th January 2024. DfE (Department for Education) Guidance on completing the School Census can be found here.

Whilst the census doesn’t have to be run and submitted on that date, PLEASE don’t wait until the submission deadline to do this.  The deadline is 14th February to submit to the DfE, but if you submit to your Local Authority, the deadline will be earlier, so please check with them when they would  like it by.

  • Census Date: 18/01/2024
  • Attendance Collection from the first day of the Autumn 2023 term to 31/12/2023
  • Exclusions collected from 10/04/2023 to 31/12/2023
  • Alternative Provision Placements collected from 05/10/2023 to 18/01/2024
  • Funding and Monitoring collected from 01/08/2023 to 18/01/2024
  • Learner Support collected from 01/08/2023 to 18/01/2024
  • Free School Meals collected from 06/10/2023 to 18/01/2024 – Only collected for on roll pupils not leavers

The classes information collected in the Spring Census is based on the last digit of your DfE Number as shown in the table below for Spring 2024, so if your school number was 123/4567, then the last digit is 7, so your Class Time would be one hour after the start of morning school.

If your school number was 765/4321, the last digit is 1 so your Class Time would be one hour before the end of morning school:

CES Census Return 2024

The CES Census is a survey of Catholic schools in England and Wales.  It provides essential information on Catholic education from national to diocesan level, underpinning policy decisions at both local and national levels and enabling the CES to be proactive in promoting Catholic education.

The CES Census timetable starts on 18th January in England and 16th January in Wales. Schools should complete and submit their returns during the support period which runs from the start date until Friday 9th February.

Transitional Protection Extended to March 2025

As the rollout is continuing, the end date for transitional protections is being further extended to March 2025. This means that pupils who were eligible on 1 April 2018, or who became eligible since then, continue to receive free meals, even if their household is no longer eligible under the benefits/low-earnings criteria, up until March 2025 and then until the end of their phase of education.

New applicants for free school meals on or after 1 April 2018, who are in receipt of Universal Credit and have earnings above the earned income threshold, will not be eligible for free school meals.  For more information, click on this link:

Recording a School Closure

Do you know how to add a school closure to your system, should you need to?  We’re going into the time of year where inclement weather and boiler breakdowns may mean that this is required.  If you’re not sure, please check the relevant MIS section in the newsletter for links to videos on our customer portals that will take you through the process.  Just a reminder that the # code is for planned absences (holidays, training days, etc, and the Y code is for unplanned absences (snow closures, boiler breakdown etc.) unless otherwise advised by your Local Authority.

Financial Year End Preparation

As the end of Financial Year End grows closer, it is essential to carry out procedures to ensure the smooth transition of accounts from the current year into the new Financial Year. This will involve the processing of orders, invoices, income, petty cash, etc.

It may be prudent to start reviewing your Purchase Orders and Invoices, clearing Commitments and contacting suppliers for invoices and supplies. Please also check any End of Year procedure deadlines that may be set by your Local Authority or Trust/Senior Management Team.

Census and CES Census

The school Census is here again!


1) You must be using version 7.214 Autumn upgrade.

2) Latest fileset (currently fileset 2604 is on our portal:  Without the latest fileset your Census will NOT be accurate. Please check our website for the latest news before starting your census. NOTE: The Fileset ID is displayed in the browser header.

A message will be displayed in the census panel warning that the version is not a valid submission file if the fileset has not been imported.

All the latest guidance on how to complete the census has been uploaded onto the customer portal – please see the links below for further assistance: –

This is the census where the most information is collected, so again, please make sure that your data is correct and up to date.  You can do this in advance by using Bulk Update for many of the fields that are collected, and this can be accessed via Routines | Pupil (or Student) | Bulk Update.  When the screen loads, select the Group Type, e.g., Ethnicity, select the same item from the Data Item area, and then choose the group.  When choosing the Group, you can scroll right down to the bottom of the list, and this will allow you to select <NONE> or <INVALID>, which will pick up missing information or data items that may have been updated:

Also, please ensure that the Effective Date is on or before Census date (18/01/24).  Once you’ve done this, click on Search and any pupils who meet the criteria will be listed:

You can make the columns narrower by right-clicking on a column header and selecting ‘Narrow Columns’.  You can then tick the relevant columns and Save:

You can do this for many areas that are collected, saving you lots of time!  Just click on the Browse button, change the area you want to check (so First Language may be next), and repeat this exercise.

IMPORTANT Reminder: We do not recommend that you CLOSE exam seasons, but we do recommend that you LOCK any old seasons you are no longer working in as you can always unlock them if necessary. If you close a season, then it can only be reopened by purchasing a site-specific patch from ESS at a cost of £450 +VAT (current price at the time of publishing this newsletter). Please note that if you have imported external basedata into a season and then closed it, you cannot reimport that basedata into any other season, which means you cannot use it to make your entries for that season using EDI. You can make entries on the Exam Board secure sites, but then you cannot import the results in to Exams Organiser as the basedata is in a closed season.

FMS Year End

InTouch Issue Sending Messages with Attachments

There is currently an intermittent issue affecting emails with attachments sent in bulk via InTouch where some messages will fail to deliver but show incorrectly within SIMS as being queued.

Affected messages will show as having sent successfully when viewing the Sent box in SIMS via Focus | InTouch | Show Messages, however when the message is opened to view more details it is found that a small number of the messages report as queued as in the screenshot below.

This issue only affects message sent in bulk where an attachment has been included. Messages without attachments are unaffected. This issue is also not affecting all InTouch messages, for example you may send a message with attachment to 100 recipients but only 2 or 3 may report as queued. ESS have confirmed that, in this circumstance, the messages are in fact failing to send.


This issue has been raised with ESS product team who are investigating

ESS have confirmed that a re-send of the message to the affected recipients will resolve the issue in the majority of cases, with messages sending as expected when processed in smaller numbers.  Please re-send the affected messages where applicable as a workaround whilst work remains on-going to resolve the underlying issue.

New Year Tasks

Now is a good time of year to be thinking about the future….!

You can set up your new academic year at any point in the year in SIMS.  it doesn’t have to wait until Summer and it doesn’t have to be done all in one go, but once you’ve set up your new year, you can start doing things like setting up your new intake groups for your new pupils, whether it’s Year 7s or Reception in September, or it could be a Spring intake or a Summer intake (after the Easter holidays) if you have a nursery.

You can add volunteers and Governors to your SIMS?

Set them up as you would with a member of staff, but remove the tick for ‘Eligible for SWR’:

Now go to Tab 3 – Employment Details:

and give them a start date for their role in Employment Dates and then go down to Service Agreement and click on ‘New’:

In here, choose either ‘Governor’ or ‘Volunteer’ instead of Supply:

You would also need to add a post into the ‘SWC (School Workforce Census) Post’ field, but this won’t be picked up by SWC as we’ve removed the tick.  Also, you can map the role to ‘Do not include in Statutory Returns’ too, if you’d prefer:

This would then pick them up on any of the SCR reports built into SIMS, if your school uses these.

Bank Account Verification

We have had a lot of schools who have recently had to verify their Accounts again.  This does happen periodically to ensure that all data is up to date.

Just a reminder of a few things…..

The School Details:

Must be for the school, NOT the Trust or LA, so this is:

  • The SCHOOL Name
  • The SCHOOL URN (you can find this in School > School details)
  • The SCHOOL Telephone Number
  • The SCHOOL Postal Address

For the proof of school name and address, the most recent FULL Ofsted Report is recommended, but if you do not have one of these yet, then you can use:

  • A Utility Bill in the name of the School (NOT the Trust or LA)
  • A Bank-issued document in the name of the school (Bank Statement is ideal), again, NOT the Trust or LA
  • A Companies House Document
  • A Charity Commission Document

For the School Controller and Verifier details, these must be their personal details (address and documentation).  Identity verification is important and is legally required as part of Know Your Customer (KYC) regulations. You can read more about the laws governing Arbors’s identity verification process here.

Arbor and their payment provider (Stripe) are required to collect and verify information of all payment account holders.  This is because the regulations in Great Britain require them to collect and maintain this information. This is then submitted to their payment provider to verify authenticity.  The information you provide will not be used for any other purposes than identity verification.

So for the School Controllers/Owners Details, these must be:

  • Job title
  • Legal forename and surname
  • Date of birth
  • Email address
  • Postal address (home address)…..

….and for the Representative Details:

  • Job title
  • Legal forename and surname
  • Date of birth
  • Email address
  • Telephone number (personal)
  • Postal address (home address)

For the Photo ID for the staff concerned:

Make sure that:

  • the legal name provided for the representative’s details is the same as on the photo ID
  • the address included on the ID matches the user’s address recorded on the staff member’s Arbor profile.

Accepted documents:

  • Passport (preferred)
  • Driver’s licence
  • Other government-issued ID (both the front and back). This must be:
  • A colour image, rotated with the image right-side-up
  • Clear picture with no light bouncing off the ID
  • JPG or PNG format (NB: PDF documents are NOT acceptable)
  • Less than 5MB in size
  • Image smaller than 8000px*8000px

Also, do not re-submit ID that has already been submitted as this will create an issue in its own right.

Arborfest 2024

Parent App

Enable parents to download a printable PDF of their children’s timetable from your Parent Portal settings.

The Parent App now mirrors the Parent Portal so you can view past and future days: The Calendar and timetable on the Parent Portal and Parent App

 What else is new?

  • Add transportation details to staff profiles on the MAT MIS.
  • There is now a 75 student limit when logging incidents from custom groups. Logging incidents from everywhere else hasn’t changed.
  • Delete unused Grades from Pay Scales.
  • Improved validation on reporting pages so you can’t choose an end date that’s before the start date.
  • Select the new Legal First Name, Last Name or Full Name merge fields in communication templates.

Spring Census FAQ's

Here are a few frequently asked questions ahead of the school Spring census: –

  • The census is saying that the student numbers are different to what I believe to be on roll?

The census will calculate the student numbers on the day of the census (even if you are running your census after census day).

If you go to Reporting >Reports > Students (tab) > On Roll by Date and enter the census date, you can see the numbers ScholarPack will be using on the day of the census. Check the numbers per year group to see if there are any irregularities.  It would be worth focusing on new starters and those who have gone off roll recently to check if entry/leaving dates are correct.

It is also worth going to Admin > Students > Group Updater and checking the student attribute of Hidden Pupil. Any student who is set to Yes for this will be excluded from all census calculations, including on roll figures.

  • Can I look at data from a previous census?

If you go to Admin > Census, look under “Past Census Viewer” and find the census from last year then click on the ‘Open SP Summary’ button. From here you can then see the census summary with all the data that was recorded for the census. Please note you can only view the Censuses you did on ScholarPack. Only Student Censuses will be available – we do not store historic Workforce Census.

  • Why is a pupil not showing in Table 11 of the census for having SEN support?

Go to the student profile and choose the support tab. SEN provision needs to be correctly recorded in here.

Table 7 in the Census displays data for Funded and Extended Childcare Hours for pupils on roll aged 2, 3, and 4 years:

If you go to Reporting>Custom Report, New Report, select the nursery year groups (-2, -1 etc) on the left side under General Filters, and on the right Features tab select Funded Hours, Hours at Setting, Extended Childcare Hours and 30 Hour Code.

Select Run Report at the bottom of the page and then filter the columns by date of birth (click on the header to bring in date order), or funded hours (enter 0.0 to filter for those with no funded hours, or 15.0 for 15 funded hours, etc).  Total numbers will appear at the base of the page. Make sure you are choosing students who are born between the dates in Table 7 for each row to ensure the correct number of students have recorded funded and extended childcare hours.

Any changes to these hours can be made in the student record on the extended tab.

If this is for an individual student, you can do this on their profile’s extended tab, under the School Information header.

The Hours at Setting will be the total number of hours they attend your nursery, and the Funded Hours cannot be greater than 15. The Extended Childcare Hours is additional funding the student is eligible for (not any additional hours that parents pay for). If the Hours at Setting is 30, and Funded Hours plus Extended Childcare Hours are both 15, then the student will need to have a 30 Hour Code, provided by HMRC. Save the information entered here at the base of the Extended Tab.

How do I enter UIFSM on census day?

On the census it is necessary to enter if a student in reception, year 1 or year 2 has had a meal on census day.  To enter this information please go to Admin > Census > School Lunch Taken.
