We truly appreciate your feedback and insights.  They are invaluable in helping us improve your experience with our products/services.

We’ve looked at your feedback and have been working diligently over the summer term to prepare for the new academic year ahead. Our colleagues in the MIS Team have been busy and as a team we have, over the summer term:

  • Supported over 1600 customers and answered 11420 support requests
  • Delivered 150 Training and consultancy sessions to schools.
  • Completed 17 Internal training sessions with colleagues
  • And staff have completed 28 new Arbor accreditations!

New School Year

As the new year begins, we know that a lot of schools will have new staff or staff who are changing their role within school. With this in mind please see the scheduled training courses for September below, and don’t forget our Distance Learning courses too!  You can access the full list of DL courses here and you will have access to the DL course for 12 months from date of purchase, so if you need to check/re-check anything, you can just log back in and re-watch the video during that time.  The course content and the price are the same as the ‘live’ courses, but you can work through each course at your own pace. Downloading PP file from GIAP (see below for 2023-24 values), and for help/guidance importing the file into your MIS, please see the relevant section.

Pupil Premium

You should be able to download your Pupil Premium file for the 2023-24 year from Get Information About Pupils (GIAP) and import it into your MIS. Please see the relevant section for guidance on doing this. The values for 2023-24 are:

New DfE Guidelines

The DfE have published new guidelines for the ‘Keeping Children Safe in Education‘ scheme, and new guidelines will be kicking in come September 1st.  There are several key changes regarding both Filtering and Monitoring. Our IT consultants at turn IT on & School ICT will be contacting our IT Support customers to discuss how we can help. If you would like to discuss these changes in more detail with our team of experts, please don’t hesitate to reach out.

Annual Increments

The new teacher pay awards will be made as of September. This is something that should be updated within your MIS as soon as you can to ensure they are up to date for the SWC.

Role: Virtual Data Manager

Due to continued growth an exciting opportunity has arisen for a suitably qualified, highly motivated, and experienced School Data Manager to join our Virtual Data Manager Team.

School ICT, part of the turn IT on group, is one of the largest, independent providers of MIS and data services in the country. We currently offer support and consultancy services to over 2,000 schools on a national basis.

The role involves carrying out the tasks of a data manager virtually via a secure remote connection for allocated schools across the MIS and third-party analysis programs.

The successful applicant will:

  • Be a secondary specialist with either SIMS, Brocmom, or Arbor, and in particular assessment experience within the MIS.
  • Experience with third-party analysis tools such as SISRA, 4Matrix, Go4Schools, etc.
  • Competent in the use of Microsoft Office e.g. Excel and Word.
  • Be able to work to time-sensitive deadlines.
  • Have a good understanding of the data manager role in a school including awareness of DfE requirements.
  • Be experienced at writing ad hoc reports.
  • Excellent communication skills.
  • Be able to work independently on their allocated schools, as well as part of a team.

Pupil Premium

For guidance on downloading and importing the PP file from GIAP into SIMS, click here if you’re a School ICTS customer and here if you’re a turn IT on customer.  Guidance is available for help with this.  When importing, you can set this to put the tick in your ‘Pupil Premium Indicator’ box, but if you prefer to do this manually, or have received the updated list for your new Reception/Year 7 FSM entitlements, as confirmed by your Local Authority, you can bulk update the Pupil Premium Indicator for those children (as well as any Service children or Post Looked After children who are also confirmed) via Routines | Pupil | Bulk Update.  Choose ‘Year Group’ from the Group Type, Year 7 (or Reception) from the Group and for the Data Item on the right, choose ‘Pupil Premium Indicator’ and then Search.  Tick the pupils who need it and then Save.

PLEASE BE AWARE THAT THE TICK IN THIS BOX DOES NOT GENERATE YOUR PUPIL PREMIUM GRANT.  IF YOU NEED MORE ASSISTANCE WITH THIS, PLEASE CALL US OR LOG A CALL.

Updating Photos

To bulk update photos in SIMS you will need a licence from ESS.  Some photographers will supply these, but to obtain it directly you can use this link: https://www.ess-sims.co.uk/order-photo-licence

Reception Baseline Assessment CTF

We have created resources to assist with generating the CTF to upload. There is a helpsheet and a short video to demonstrate the process. System Manager 7 – Database Backup Utility

Focus | System Manager

Following a review of the legacy System Manager 6 (SysMan6) application with schools and support units, ESS have made the decision to retire the SysMan6 application in the Summer 2023 release of SIMS. During the review it was identified that some schools still utilise the capability to create a SIMS backup through SysMan6 and as such have introduced the ability to perform such a task in System Manager 7 in the 7.212 release.

In order for a school to make use of this new function should they want to, this can be introduced with the application of On Demand Patch 27976. Once applied, for users with the System Manager permissions the new menu route will appear under Focus | System Manager | Database Backup as below:

SIMS Assessment Marksheets Housekeeping

At the beginning of the Academic Year, you may need to delete old marksheets no longer required and create marksheets for new groups, e.g., academic classes or registration groups.

Carry out Census Dry Runs if you like – remember that you can update pupil info via Bulk Update (Routines | Pupil (or Student) | Bulk Update)

SIMS In The Classroom - A More Sustainable Option

Just a reminder for those schools who still use paper registers, that SIMS in the classroom allows teachers to take the registers, (they can’t change anything in pupil records, so Admin people, you don’t need to be worried!).

It speeds up the process, ensures attendance follow up is processed more efficiently and improves sustainability.

16-19 Additional Hours and Tuition Fund End of Year Report

Schools with a Post 16 Offering must complete and return the form by 11:59pm on 13 October 2023, unless both of the following apply:-

Additional hours – The DfE did not share baseline data with your institution in June 2022.

And

16 to 19 tuition fund – Your institution was not in receipt of 16 to 19 tuition fund for academic year 2022 to 2023.

Failure to submit a return will result in 100% recovery of your original 16 to 19 tuition fund allocation.

Please see the link below to the DfE guidance to help you to complete the end of year report and what information you will need to provide. There is one report to capture information on 16 to 19 additional hours and 16 to 19 tuition fund 2022 to 2023 (if both are appropriate to your institution).

There has been a small enhancement to the functionality of Prior Attainment.

It is now possible to multi-select (Ctrl click) to update students who have the same data requirement.

Holding the shift will allow bulk selection of students.

Did You Know...You Can Record Staff Training In SIMS?

Go to Tools | Staff | Training.

Click Search to see any previous courses that exist within your system.  If any of these are repeated, e.g., First Aid, Child Protection, etc., these can be cloned, and the date, venue, organiser, staff, etc. Updated accordingly

Or

You can click New to add a course, filling in the Title, Organiser, Venue, Dates, etc.  If the course is completed off-site, you can add the absence in (this will feed through to the Personnel records as a Training Absence), and then add your staff.  You can do this in advance of the course, and then when the course has been completed, you just come back into here and change the ‘Completed’ column on the Staff area (Tab 3) to ‘Completed’.

Any Training logged will pull through to the ‘Professional Details’ tab in Personnel and will show in the Training area, and reports can be produced from Reports | Personnel | Staff Training or Training Course.  For more help with this, click here to go to our portal where you can download the helpsheet:

Discover - Start Of The New Year

Remember, each academic year you need to transfer over the data from SIMS to Discover, if your IT have not already done this for you.

  • Go to Start/All Programs/SIMS Applications/Discover Administration Utility – Log in using your SIMS Username and Password
  • Go to Data Transfers and click on Start a data Transfer
  • Click on Current Year/Next and confirm.  Repeat the same process for Last Years Data, and for 2 years ago. Remember you can check the progress by going back into Manage Data Transfers and selecting View Transfers
  • Once completed go back into SIMS and open

Dynamic Groups – You will need to re-set up any Dynamic Groups as these are not automatically transferred over, and this is best done at the beginning of the academic year.  If you are unsure, or require further assistance, please contact us.

September Troubleshooting Guide

We have added a collection of useful tips and links to our customer portal and particularly our common September issues guide here, along with links below to Arbors help centre articles which we hope you will find helpful.

Logging in and access

Make sure all your staff have access to the system:

  • If your password has expired over summer, you can reset this yourself by clicking the Forgot your password? link on your login page. If you are still experiencing issues, work through these troubleshooting tips with your office team.
  • Staff being asked for a date of birth or being logged into the wrong account? Check for duplicate email addresses
  • Make sure teachers can access their registers from their calendar so they can all take attendance. There are three steps to check if they are having trouble.
  • If you want to give more staff access to registers. There are a few different ways to manage accessGiving permission for other staff or teaching assistants to take attendance registers
  • My Classroom – You can use layouts from past years as these are linked to the room, but you will need to set up seating plans each year as there will be different students in your classes. You can see how to do this here.

Need to change your timetable

As you welcome students back, you might need to make some changes to your timetable over the next few weeks. Here are Arbor’s top articles:

  • Staggered starts – If you have students who don’t start right away take a look at this article: Staggered Start Dates
  • Editing your timetable – If you need to make changes to your timetable, we recommend making edits in Arbor from the Timetable Slots page as this is usually much quicker than importing a new timetable. To make edits to your timetables, such as editing rooms and staff, or deleting unneeded slots, take a look at this article: Editing timetable slots and lesson times
  • Timetable periods can be used to help align your attendance marks into set groups. If you want to use this feature again, you will need to set them up by following the instructions in this article.
  • Adding new lessons – To add new timetable slots just go to School > Programmes > Courses and click the lesson, and follow these instructions: How to set up Course, Class, Registration and Lesson registers
  • Adding more rooms – If you need to move students to new rooms to keep them distanced, you can see how to set up a new room in this article, and move classes into a new room in this article.

Student enrolments and registers

Here’s how to make sure all your students are in the right registers:

  • Add new students – If new students join you who were not added as part of the Applicants process, you can see how to add them then enrol them into registers: Adding a new student
  • Enrolling in bulk – If you have lots of students you need to add to registers, see your options here: Enrol students into lesson registers in bulk
  • Moving students to the right classes – Check your students are enrolled in the right registers and move them if needed: Moving students between classes or registration forms
  • No registers – If you were expecting to have registers today but don’t, you won’t be able to take attendance, follow these instructions: Why don’t we have registers today?
  • Students missing from your registers. You’ll need to check their enrolment using this article.
  • Don’t have any meal registers or students in your meal registers? Check out this article to help resolve this.
  • Duplicate students or enrolled applicants who are no longer joining may need to be removed. See this article to find out what you’ll need to do.

Assessments

Copying over Assessments

If you used Arbor Assessments last year, you’ll need to copy over your setup to next year. Take a look here for how to copy over your assessments.

Data Collection Policies are linked to the Assessment policy. Because you need to select the assessments to create or copy over each year, you also need to define your Data Collection Policies each year if you use them at your school. You can see how to add Data Collections here.

If you’ve copied over your assessments but teachers can’t access them or the boxes are greyed out, follow these instructions: Why can’t the teacher mark the assessment?

New to Arbor Assessments –

If you didn’t use assessments last year, you can set them up for next year to start learning from your data with simple, visual analysis screens.

  • Primaries – See Arbor’s ready-to-go assessment approaches for reading, writing and maths assessments. Use Arbor’s handy quiz to pick the approach that’s right for you, and save time on setup with Arbor’s step-by-step guidance.
  • Secondaries – Take a look at Arbor’s Introduction to Arbor Assessments for a feel of what Arbor offer, then use our easy-to-follow setup templates for English Literature and Language, and Double/Triple Science here, or more basic setups here.

Behaviour

  • For schools already using Behaviour, you will need to schedule detentions and internal exclusion sessions, the rest is already present from the previous year, note that any workflows that have been set to allow auto detentions need to be re-linked to the new detention setup. Set up Detentions and Set up Internal Exclusions.
  • If schools are unable to add students to a detention session/internal exclusion – this could mean there are no detention/internal exclusion sessions scheduled, please follow the Scheduling Detention Sessions  & Scheduling Internal Exclusion Sessions

Using behaviour for the first time? Take a look here for how to:

  • Set up your behaviour policies for the first time if this is your first year using Arbor
  • Schedule your detention and internal exclusion sessions if you used behaviour in Arbor last year

Communications

Make sure the right people can send email, SMS and in-app messages to the right people:

  • Make sure you’ve completed the New School Year setup process to be able to choose the group in the To field for classes, registration forms, year groups, houses or custom groups.
  • Sending communications –To send different communications, as themselves, the school or others, staff will need to be a Permitted Sender of the communication type they want to send. They will also need to have the right permissions. Check these settings here.
  • Wrong signature at the bottom of emails sent – This is set from the staff contract, so check contract names on staff profiles to ensure the right job title appears in your searches and in communication signatures: Wrong job title or role in search and email
  • In-app messages – Have guardians download the Arbor App and enable push notifications, or log in to Parent Portal to be able to receive in-app messages

Parent Portal and Arbor App

If you use the Parent Portal and Arbor App, guardians may have trouble logging in for the first time. Please advise parents not to contact Arbor directly, as Arbor won’t be able to make changes to their data.

API and 3rd party connections

If your data hasn’t updated in your 3rd party application, follow Arbor’s Top tips for managing your APIs

Please contact the 3rd party first if you are having issues. If you have checked with the third party but still need to contact us about your app, please do so via email. Include screenshots and as much information as possible.

School Photographs

You can bulk upload photos of students and staff directly to Arbor from files located on your computer. If you have photographers coming in to school to take your photos, you’ll need to ask them to name the files with one of the identifiers found here in this article. This ensures the photos can be matched to the correct students.  Full details can be found here

New - Reporting On Club Attendance

Attendance analysis for clubs works differently than for normal lesson registers because clubs do not feed into your statutory roll call marks. As such, you won’t be able to report on club attendance in the same way (such as through the Students > Attendance > Statistics page).

Instead, you’ll need to use the Custom Report Writer to report on standard or wraparound care clubs and attendance for these clubs. Please see the following article for more information: Reporting on Clubs and analyse attendance

Remember that new students can be added in one of the following ways:

  • Manually via Admin/Students/add students manually.
  • By CTF/ATF via Admin/Students/full ATF/CTF Importer
  • By CSV file via admin/students/admissions and import csv

New staff members can be added to ScholarPack easily:

  • Go to Admin/Personnel/Staff
  • Click the add new button to begin creating a new staff profile. Only basic details are needed to create and save the profile. These are first name, surname, DOB and gender. Click insert to add the staff member to ScholarPack. Alternatively select ‘next’ and fill in the relevant details if known.

Any staff leavers can easily be removed from ScholarPack:

  • Staff members who have left should be deleted from ScholarPack but instead should be made inactive. To do this go to Admin/Personnel/staff. Select the staff member from the drop down and click the cog next to the staff members name (above their photo). At the bottom of their record click on the toggle next to Active and change this to ‘No’ and click submit.
  • Do not click on delete as the staff member should remain on the system but just deactivated.
  • Staff members who have left should also have their login deleted so that they can no longer access the system. To do this go to: Admin/personnel/Staff and select the staff member – click change password roles next to where the photo shows. In this area click ‘delete SP logon’.

I have completed Year End but some students aren’t in the correct forms:

  • Go to Admin/students/group updater
  • Change the year and form to the current year and form the students are assigned to by changing the student attribute to either Current Year Group or Current Form Group depending on what needs to be amended.

I can’t log in to ScholarPack

If you have forgotten your password over the holidays speak to an administrator at your school to reset your password. Usernames are case sensitive. Also check on the log in page that your school’s name shows at the bottom underneath the login boxes.

Starting The New Academic Year

This article covers the steps you need to complete at the start of the new academic year: –

The following actions need to be taken. It is possible you completed some of these during or after you completed Year End but it is worth checking them.

If a student has been in a Nursery class and has now moved to Reception you may need to change their FTE and Part Time Status and also remove the designated nursery class tick (used by census).  For speed this can be done in Speed Edit.

  1. From the Modules menu choose Administration, Speed Edit. The Speed Edit screen is displayed.
  2. From the Area drop-down list select FTE and Part Time Status.
  3. Click Find (top-right option). The ‘Student Find – General Search’ window is displayed.
  4. From the Year Group drop-down choose Reception. Click Find.
  5. Click Select and then Yes to retrieve all students in Reception onto the Speed Edit screen.
  6. Select all the students that will be attending school full-time, using the Ctrl key to select multiple students. It is expected that Reception students will attend full time but you may have individuals who may start out as Part Time.
  7. Type 0 in the New Value field and click Apply Changes.
  8. Click Save and then Yes to confirm.
  9. Remaining in the Speed Edit screen, select Student in Designated Nursery Class from the Area dropdown.
  10. Select all the students on the screen (regardless of whether they are full time or part time)
  11. Untick the New Value tick box and click Apply Changes.
  12. Click Save and then Yes to confirm.
  13. Click Exit to close the Speed Edit window
